Reservations and Payments: A deposit is required for all trips; space is guaranteed by your final tour payment and is due 90 days before departure; late payment can result in loss of your deposit. Bookings within 30 days incur a handling charge of $25-75 in addition to overnight mailing costs. Receipt of your deposit indicates that you are in agreement with all Club and tour operator terms and conditions. No places are held without a deposit either on the telephone or by mail, fax. Most trip deposits are $400 except for those for cruises and spas, and some specialists trips.
Documents On receipt of a deposit, we send you confirmation of space and information on optional travel insurance. You must purchase the insurance directly from the insurer. It is your responsibility to obtain a valid Passport and visa. Non US passport holders must obtain their own visa information. It is your responsibility to check the accuracy of airline tickets and documents.
Health Requirements: Any physical or mental disability requiring special attention must be noted at time of booking. All health requirements must be checked with your travel doctor.
Cancellation/Refunds: Airline tickets have cancellation and change penalties quoted separately. Upon receipt of your written cancellation, tour penalties apply: a minimum $75 in addition to charges from tour operators, 90 days prior to departure: $400 penalty and charges from operators; within 75 days of departure, no refund. Refunds of unused portions of the tour including hotel and unused services are not refundable or exchangeable.
Tour prices: Air is in economy class subject to terms and conditions of the airlines. Late booking can result in higher airfares. There is a minimum $200 fee for all ticketing changes. All airfares are subject to change without notice- if airlines impose higher fares, tour members are required to pay the additional amount. Concerns about costings / schedules should be addressed to the airlines. We use IATA carriers but flights are occasionally overbooked, delayed or canceled- we cannot be responsible. Our land price is subject to change with foreign exchange rate changes and/or unusual surcharges.
Single Supplement is subject to availability. Any unavailable portion will be refunded on a pro-rata basis after tour returns. If we pair you with a roommate, we are not responsible if the arrangement is not satisfactory. We cannot guarantee a single room once the trip begins. Passengers who decide while on tour that they prefer a single room for whatever reason, will be required to pay the full cost of a single room for the remaining nights for themselves and for their room mate. We will debit your credit card for any costs you do not cover related to this change.
Transfers Group transfers are usually included. Occasionally a transfer is not available if flights do not coordinate with the group. Sightseeing is subject to final arrangements by local tourist authorities, based on conditions as weather, time etc.
Luggage allowance is one suitcase of maximum 44 lbs plus one carry-on. In the unexpected event of excess luggage charges, tour members are responsible for payment. LUGGAGE TRAVELS AT OWNERS RISK THROUGHOUT. WE ARE NOT RESPONSIBLE FOR LOSS OR DAMAGE OF LUGGAGE OR PERSONAL BELONGINGS. TRAVEL INSURANCE IS STRONGLY RECOMMENDED. Not included are visa/passport fees, photos; items such as laundry, telephone, beverages or meal items not in group menus; gratuities for guides and Tour Directors, insurance; airport departure taxes, airport administration and construction fees; US Transportation Tax, customs and immigration fees etc. Change of Service or Itinerary Circumstances beyond the control of our agent and suppliers may necessitate changes. If such changes result in lower cost, we refund you. If they result in higher cost, you are responsible for payment. Every effort will be made to maintain the intent of the original itinerary.
Responsibility: The Women's Travel Club (USA) Inc. and its agents are strictly limited in responsibility. Our agent organizes, promotes and sells tour programs consisting of travel services as air and surface transportation, sightseeing and hotel accommodations, all of which they purchase or reserve from various suppliers. The suppliers providing travel services are independent contractors, not agents or employees of our operator or any subsidiary of The Women's Travel Club. For all purposes, our land operator does not act as agent for any party whatsoever. The Club and its agent are not responsible for willful or negligent acts and/or omissions of such suppliers or of any carrier or other respective employees, agents, servants or representatives, including without limitation, other failure or inadequacy in delivery or services. All coupons, receipts or tickets are issued subject to the terms and conditions specified by the suppliers and/or the air carriers. By utilizing the travel services of the suppliers, you agree that neither The Club, its agent, nor any subsidiary or representative shall be liable for any accident, injury, property or personal loss to you or to those traveling with you whether it be in the connection with any accommodations, an arranged room share, transportation or other travel services or resulting directly or indirectly from any occurrence or conditions beyond its control, including but not limited to, acts of terrorism, defects in equipment, strikes, theft, delay or cancellation of or changes in the itinerary or schedules. The airlines concerned are not responsible for any act, omission, or event during the times passengers are not on board their plane or other modes of conveyance. The passengers contract in use by the airlines concerned, when issued, shall constitute the sole contract between the airlines and the purchaser or these tours and/or passenger. Any and/or all transportation companies mentioned shall have or incur no responsibility for liability aside from the liability as common carriers. Cancellation and Group Policies The right is reserved to cancel any tour, and to decline to accept or retain any person as a member of a tour, in such cases, full or equitable amount will be refunded, but not to exceed the amount paid by the passenger. We regret wheelchairs/walkers cannot be accommodated; we cannot guarantee special dietary requests. We have the comfort of the group in mind; we reserve the right to ask anyone who does not conform to leave the trip. There is no smoking on the bus or at meals. We reserve the right to use photos or videos taken on the trip for publicity about the Club. All disputes will be settled according to the laws of New Jersey.
